Calendly. Getting Started

Updated over a week ago

Starting with Calendly is really easy! It helps you schedule things more easily and efficiently.

Follow these simple steps to personalize your booking page and test the whole experience. You'll be sure to create a professional scheduling process.

First, log in to your Calendly account. If you don't have one yet, you can sign up for free here.

Customize your Calendly booking page

Let's begin by personalizing what people see when they book time through your page. Update your account settings first. This is where you can change your picture and name, and link your calendars to Calendly.

Personalize your account settings

To access your account settings, click on the photo/icon in the upper right corner of your Calendly homepage. A menu will appear. Select "Profile."

Connect your calendars

Now, let people see when you're available. Connecting your calendars to Calendly shows only your open time slots on your booking page. This avoids manual checks for scheduling conflicts like double booking. Sync your calendar by clicking "Calendar sync" in the Account settings sidebar or dropdown.

For more details on connecting your calendar, check out this step-by-step guide.

Customize an Event Type

After adjusting your account settings and connecting your calendars, let's customize one of Calendly’s preset Event Types. These settings control what people see when they book time on your calendar. Just go to your Calendly homepage and click on the Event Type you want to edit.

In the Event Type editor, there are five different sections of customization settings. We’ll go through each one now:

Event details: Here, fill in basic settings for your meeting. Provide details like the event name, duration, and location.

For location you can choose:

  • In-person meetings -->Specify a physical address.

  • Phone call --> Provide a phone number.

  • Online meeting --> Choose video conference tools (Google Meet, Zoom, Microsoft Teams, and more).

After updating the name and location, add a meeting description. This gives people a better understanding of the purpose of the meeting and encourages them to book time with you.

Hosts and invitees: Review hosts and decide if invitees can add guests. For most one-on-one meetings, you'll be the host.

Scheduling settings: Fine-tune when people can book a meeting with you. Set the date range and available hours.

Event limits: Master your scheduling experience with enhanced control.

  • Buffer Time --> Automatically block intervals before or after events to avoid back-to-back appointments.

  • Minimum Notice --> Specify how much advance notice is required for bookings, preventing last-minute requests.

  • Daily Limit --> Control the number of times a specific Event Type can be scheduled per day, balancing your availability and preventing an overload of energy-intensive sessions.

Additional options: Adjust time zone display and start time increments based on your preferences.

Test your Calendly booking page

Now that you've customized the important settings, test the experience to feel confident inviting others to schedule with you.

Preview your Calendly booking page

Preview your booking page from the Event Type editor. Check your profile picture, name, meeting details, and update any incorrect or missing information.

Final step: Sharing your scheduling link

Now you only need to copy your scheduling link on Calendly and paste it on your PipeLime profile.
