Connect a Gmail or Google Workspace mailbox so your agents can send from it. Google does not accept your normal password for this, so you create an app password instead: a code that only works for sending mail and that you can revoke at any time without changing your Google password.

If you cannot find this in your sidebar, your workspace may have a custom menu configuration. Contact support and we will check it for you.

Before you begin

  • The mailbox has to be one you can sign into, because you create the app password inside Google’s own settings.
  • 2-Step Verification must be on for that Google account. Google only offers app passwords once it is.
  • On Google Workspace, an administrator can switch app passwords off for the whole organisation. If the app passwords page shows an error rather than a form, that is why, and only an administrator can change it.
Warm-up is not available for Gmail or Google Workspace mailboxes. Google’s terms do not allow it, so a Google mailbox builds its reputation through your real sending instead. See Google warm-up policy.

Connect the mailbox

1

Open the provider list

Go to and choose Add Sender, then Connect.Gmail and Outlook are shown first (1); everything else is in the grid below. Choose Gmail.
2

Turn on 2-Step Verification

The first step of the wizard links straight to your Google security settings. Open it, and check the avatar in the top-right corner before you do anything else. Signing in with the wrong Google account is the most common way this goes wrong. If 2-Step Verification is off, turn it on and follow Google’s prompts, then come back and choose It’s on — next step.
3

Create an app password

The second step opens Google’s app passwords page. Give the password any name you like and press Create. Google then shows a 16-character code in four groups, once.Copy it now. Google will not show it again, and it is not your Google password. It is a code that only lets us send mail.
4

Enter your details

Back in PipeLime, fill in the mailbox address, paste the app password, and give the sender the name you want recipients to see in their inbox. You do not need to touch the server settings: choosing Gmail already set them.
5

Verify the connection

Choose Verify connection. We open a real connection to Google for both sending and receiving, because a mailbox that can send but not receive would never see a reply.

What happens next

The mailbox appears on the Email Accounts page as Active, and your agents can send from it.
A brand-new mailbox does not start sending campaigns at full volume, and for its first weeks it may send none at all. That is deliberate: sending too much too early from a fresh mailbox is what gets addresses filtered. See Smart Daily Limit for how the daily number is worked out, and The quarantine and ramp-up for new mailboxes for what to expect in the first month.

Troubleshooting

Either 2-Step Verification is not on for this account yet, or you are signed into a different Google account than you think. On Google Workspace, an administrator may have disabled app passwords for everyone. Ask them, because it cannot be changed from your side.
Almost always the app password rather than the address. Generate a new one and paste it again: an app password is shown once, and a partly-copied code fails exactly like a wrong one.Check too that the address you entered is the same account you created the app password under.
A connected mailbox is not the same as a sending one. The most common reasons are that the agent’s outreach is still paused, or that the mailbox is new and still warming up. Work through My agent isn’t sending anything, which goes over the reasons in the order worth checking.
