Before you begin

  • The mailbox has to already be a connected email account. Warm-up chooses from mailboxes you’ve added, and it doesn’t add one for you.
  • Gmail and Google Workspace mailboxes are not offered on the full page: its Sender field leaves them out. See Google warm-up policy for where the notice appears, and what it does and doesn’t block.
  • A mailbox holds one warm-up at a time. Once it has one, its row’s flame icon opens Manage Warm-up rather than Create Warm-up, and the bulk checklist leaves it out. The full page’s Sender list is the exception: it still offers the mailbox, and picking it there does not get you a second warm-up.

Open the form

Two ways reach the same fields for one mailbox. On , click the flame icon on the mailbox’s row: a dialog titled Create Warm-up opens for that mailbox. There is no mailbox picker in it: the address it will warm up sits under the title.The same fields also live on a page of their own, reached from Single Warm-up in the Warm-up list’s Add Warm-up Account menu. That page adds a Sender field you fill in yourself. Below that the two carry the same fields, and differ in three ways worth knowing, all flagged below: the end date each starts with, whether a daily increase of zero is allowed, and the wording on the save button.

Pick a strategy, or start from your own numbers

Warm-up Strategy offers two cards side by side, New Account (1) and Cold Email Sender (2). Clicking one fills in the reply rate, starting volume, daily increase and sending goal below it, and clears the end date to none. This step only appears while you’re creating. Editing an existing warm-up skips straight to the fields.Pick the strategy before you touch anything below it. Either card overwrites all four figures and the end date, so whatever you set first is gone.

Set the reply rate, volume and daily increase yourself

Whatever a strategy filled in, every field underneath stays editable. Reply Rate sets the share of warm-up email that gets an automatic reply. Starting Volume is the first day’s count, Daily Volume Increase is how much that grows each following day, and Daily Sending Goal is the ceiling it climbs toward and then holds.

Choose an end date, or leave it open

End Date is optional, and the two entry points start it differently: the full page opens with a date already in it, the dialog opens with none. Either strategy card clears it.With a date, the warm-up stops on that date. With none, it runs indefinitely until you stop it by hand. The text under the field tells you which of the two you’re looking at, and the clear icon inside the field removes a date you don’t want.

Save it

The button reads Create on the full page, or Create warm-up in the dialog. On the full page a Daily Volume Increase of zero blocks the save; the dialog accepts it.

Or set up several mailboxes at once

On Email Accounts, Bulk warm-up in the toolbar opens a dialog titled Bulk Create Warm-ups with nothing checked yet. Checking rows first and choosing Warm up from the selection bar that appears opens the same dialog pre-checked with just those mailboxes, and silently drops any of them that already has a warm-up. Warm up is greyed out when every mailbox you checked already has one.Inside, check whichever mailboxes you want (only ones without a warm-up already are listed) and pick one of the same two strategy cards. There’s no field-by-field editing here: the strategy you pick is what every checked mailbox gets. Create Warm-ups creates them one at a time, with a short pause between each, tracked by a progress bar. When it finishes you get a per-mailbox result: how many succeeded, how many failed and why, with the failures collapsible, and Done closes the dialog, refreshing the list if at least one warm-up went through.

What happens next

A confirmation reads Warm-up successfully created. From the full page you land back on the Warm-up list; from the dialog it just closes. For a batch, the dialog’s own results screen replaces the progress bar once every mailbox has been tried.
The warm-up starts right away. There’s no separate switch to turn it on. What the reply rate and the growing daily volume actually do to the mailbox’s numbers from here is covered on Email warm-up: how it works. Come back to change any of it later, from the same row’s flame icon or the Warm-up list’s edit control, and the strategy cards are gone. You land straight on the fields, with Save where the create button was. The row’s dialog also gains Delete warm-up once there is one to delete.

Troubleshooting

The full page rejects a Daily Volume Increase of zero (Daily increase must be higher than 0), but the Cold Email Sender strategy sets that field to zero on purpose, since it assumes the mailbox already sends and doesn’t need to ramp up. Raise the field by hand before saving, or start this one from the row’s dialog or the bulk flow instead. Both accept zero there.
Two lists, two different reasons, and neither list applies the other’s rule.The bulk dialog’s checklist leaves out every mailbox that already has a warm-up, and nothing else. The full page’s Sender field leaves out Gmail and Google Workspace mailboxes, and nothing else: see Google warm-up policy for why, and for the surfaces where that same mailbox is still reachable.So the Sender field does still offer a mailbox that already has a warm-up. Picking it there does not create a second one. Open the existing warm-up instead, from the row’s flame icon or from the Warm-up list.
Read the fields underneath after you pick a strategy, not just the card. New Account’s own chips understate its starting volume and daily increase. The numbers it actually writes into the fields below run a little higher than what the card lists.
